These items have been added to the Print Work Order forms:
1. Vendor's Fax number
2. Under Job Location: Homeowner's City, State and Zip
3. The Homeowner's Account Number
4. Status field has been updated to display "Status: Open" or "Status: Closed"
5. Target Date is now populating
6. Added a space between the State and Zip Code in the Community Name field
7. W/O Type field displays the Initials of the Type - and now displays the Type Description
8. W/O Auth field displays the Initials of the Manager's Name - and now displays the Manager's full name

Work Order > Print WO. Resolved an issue with recent Work Order email enhancement that generated "Unhandled Exception" errors upon opening.

Added WO Email functionality.

1) Added button to Work Order Vendor section to export the selected WO to PDF and create an email with PDF attached.

2) If no email address found for the assigned Vendor, prompt will ask to continue. Click Yes will generate email with a blank "To:" address field. Click No will return to the WO window.

3) Change Work Order > Print WO function. Clicking on Print WO will always go to the Print Preview window. Click Print to print a hard copy from there. "Export & Email" button changed to "Email". This will export to PDF and create email with PDF attached, but with a blank "To:" address field.

4) WO > Control Info. Update Other Settings options. Removed the entire Printing Work Order section as it no longer applies.

5) Work Order > Work Order. Update main Work Order window. Removed the lower left options as they no longer apply:

---Save When Scrolling - (TOPS should NOT save when scrolling records).
---Show Print Preview
---Use TOPS W/O Form

A new module called Plug-Ins has been added to TOPS Standard. A sub-menu option named "Web Integration" has been added to the new Plug-Ins module. This provides access to Community Web Site integration features.

Database Checker utility: An issue was reported that the Address and Owner Name fields were not populating in the CCR Records > Search All CCR Records window. The process has been updated for the Tools > CCR Utilities > Owners, Properties Alignment Tool in the Database Utility to resolve this issue.

Utilities Database Checker > If the task is ended manually on the Database Checker during a utility run, it can cause curruption in the database that is processing at the time. The Database Checker will now only allow 1 utility to run at a time. It also creates a backup each time in the server's \TOPS2000\TEMPDIR\ folder - the backup file name is in this format:

ACC_YYYYMMDD_HHNNSS.mdb
YYYYMMDD = 4 digit year, 2 digit month, 2 digit day
HHNNSS = 2 digit hours (in military time), 2 digit minutes, 2 digit seconds
sample backup filename: ACC_20090811_131510.mdb
means the backup process was done 8/11/2009 at 1:15 and 10 seconds

A second progress bar has been added when running either of the 2 "slower" utilities to track the record reading progress:
1)  "Action Dates and Fee Alignment"
2) "Next Action Dates, Fees, Descriptions"
For these 2 options, a message to "Press and Hold the <ESCAPE> Key to Cancel. Continue to Hold Until the Program Exits to the Main Utility Window." has been added. This allows you to exit the current process.

Utilities Database Checker > Databases that are password protected will prompt you for the password when you attempt to run the Compact and Repair utility.

Utilities Database Checker > When running CCR History Report to include Show Notes, the Note field displays Note with a date of 1899. The database checker utility has been updated to include Tools > CCR Utilities > Data Alignment Tools. New option is for "Note 'Date' Column Sequence".

Utilities Database Checker > Added functionality to the Database Checker to validate the data in the CC&R database. The original issue could occur when a CCR Record was changed manually. We modified the Violation Actions > Letters and CCR Records routines, but this utility is required to resolve any existing issues.

CCR Batches > Batch Entry. Resolved an issue when adding new CCR records via Batch Entry. Run the history report for the code used in the batch. The Next Action displays the date used instead of 'NONE'.

CCR Records > CCR Codes. Resolved an issue with the title bar when clicking on green arrow from the CCR Records screen. The Title Bar now displays the Community Name + CCR Code ID.

CCR Records > New Record. Resolved an issue when printing Form Letter for a new CCR Record. The "No Homeowner Attached to Record" message is no longer being generated.

CCR Records > New Record. When adding a new record, the Next Action under the Actions section of the record was empty. This has been resolved to calculate the date based on the create date.

Basic steps to resolve CC&R Report issues:
---Action to Resolve do not print
---Notes do not print

As with any utility, confirm you have backups of all your communities. Once everyone is out of TOPS, you have to run the Database Utilities program to modify your CCR databases.

1. Click Start > Programs > TOPS 2000 > Database Utilities.
2. It should be version 1.2.2 – verify by going to Tools > About while in the utility.
3. Again, confirm everyone has exited TOPS.
4. Click Tools > CC&R Utilities > Data Alignment Tools
5. Leave the default options check-marked.
6. All communities are check-marked by default. You can deselect communities where CCR is working as needed,
7. Click Begin to start the process.
8. Be patient while the utility does its job.
9. Click Ok when done.
10. You can select other communities to process or click Exit to quit.

Reports > Show Notes Options. Resolved an issue with Reports (some - when selecting to include notes) that are supressing the Action to Resolve field if that field is blank.

Field set up as Date type. Resolved an issue when entering dates in specific formats: "5/7/09" (m/d/yy) or "05/07/09" (mm/dd/yy) will now save. 2 digit years will be forced to 4 digit years. Date type control now includes a calendar date selector drop down option.

6/3/2009 Unlimited Flex Data

Field set up as Date type. Resolved an issue with filters against Date field types not calculating properly. As a result, filters for other data types were also enhanced.

5/29/2009 Pool Pass

Owner > Pool Pass > Print Passes. Resolved an issue with the 5160 Avery Labels only printing 27 labels (9 down, 3 across) instead of 30 (10 down, 3 across) per page.

5/22/2009 Community Fact Sheet

In certain communities, the Community Fact Sheet was not saving Attorney address 1, address 2, city, state nor zip. This issue has been resolved.

3/20/2009 Form Letters

TOPS Standard Form Letter controls. The upgrade requires the TX controls. After running the Internet Updater, an error may generate when attempting to open the new Form Letter module. Go to Help > System Diagnostics. Click on "Register Special OCX's" to register the controls in the TOPSSITE folder. Form Letters will be registered and a message box will display. Click Ok. Form Letters will now open.

Print Passes in TOPS Standard . An issue has been resolved when the Pool Pass Records open, then clicking the menu tab for either Print Passes or Reports. The program was locking up and the tab would not open.

Gate > Vehicles > Select a Vehicle. Resolved an issue from the Vehicle Information window when clicking Delete. The selected vehicle will now prompt to confirm deletion. Click Yes and the vehicle will be deleted.
